Home Retrofit Advisory is a sole trader business operated by Shayan Khanjanifard, providing home energy efficiency advisory reports to UK homeowners.

2. What Data We Collect

We collect data you provide directly through our intake form and payment process:

Property and contact information

• Full name and email address
• Property address and postcode
• Property type, age, and construction details
• Current heating system and energy use
• Existing insulation and glazing details
• EPC rating (if known)
• Household income (if you wish to explore means-tested grants)
• Any photos or documents you choose to submit

Payment information

Payment is processed by Stripe, Inc. We never see or store your full card details. Stripe retains transaction records in accordance with their own privacy policy. We retain only the transaction reference number for our records.

3. How We Use Your Data

• To produce your personalised Green Masterplan Report
• To communicate with you about your report and any follow-up questions
• To maintain required financial records (HMRC compliance — retained for 6 years)
• To fulfil our contractual obligations to you

We do not use your data for marketing, profiling, automated decision-making, or any purpose beyond delivering the service you have paid for.

4. Legal Basis for Processing

• Contract performance — processing is necessary to deliver the report you have purchased
• Legal obligation — financial records retained for HMRC compliance
• Legitimate interests — communicating with you about your report

5. How Your Report Is Generated

Your intake form responses are used as inputs to generate your personalised report. This process uses AI-assisted analysis tools. Your data is processed in accordance with Anthropic's data processing terms. No third party receives your personal information as part of this process — data is used solely to generate your individual report.

6. Data Sharing

We do not sell, rent, or share your personal data with any third party for their own purposes. Data is shared only with the following service providers acting on our behalf:

• Stripe, Inc. — payment processing
• Tally.so — intake form collection
• Google LLC — document handling (Google Drive/Docs)
• Anthropic, PBC — AI-assisted report generation

Each provider operates under their own data processing agreements and privacy policies.

7. Data Retention

• Client records and financial data: 6 years (HMRC requirement)
• Report content and intake data: 3 years from delivery date
• Email correspondence: 2 years

After these periods, data is securely deleted.

8. Your Rights

Under UK GDPR you have the right to:

• Access — request a copy of the personal data we hold about you
• Rectification — request correction of inaccurate data
• Erasure — request deletion of your data (subject to legal retention obligations)
• Restriction — request we limit how we use your data
• Portability — receive your data in a portable format
• Object — object to processing based on legitimate interests

No method of transmission over the internet is 100% secure; we cannot guarantee absolute security but we take all reasonable precautions.

Our website (homeretrofitadvisory.netlify.app) does not use tracking cookies or analytics. We do not use any third-party advertising or tracking technologies on our website.

Home Retrofit Advisory is operated by Shayan Khanjanifard (sole trader), providing home energy efficiency advisory reports to UK homeowners.

2. The Service

We provide a personalised Green Masterplan Report — a written advisory report (approximately 15–20 pages) covering home energy efficiency and retrofit options for your property. The report includes:

• Property summary and EPC assessment
• Top retrofit recommendations tailored to your property
• UK grant eligibility assessment (BUS, Warm Homes Local Grant, ECO4, and others as applicable)
• Financial analysis and estimated payback periods
• Solar potential assessment
• Phased 3-year action plan
• Suggested next steps and installer guidance

The report is delivered as a PDF via email within 5 working days of receipt of your completed intake form.

3. Price and Payment

The fee for one Green Masterplan Report is £299 (inclusive of VAT, if applicable). Payment is taken in full at the time of order via Stripe. No work commences until payment is confirmed and a completed intake form is received.

4. Cancellation and Refunds

• Before intake form submission: Full refund available on request within 14 days of payment (your statutory right under the Consumer Contracts Regulations 2013).
• After intake form submission: By submitting your intake form you are requesting we begin work. If work has commenced, a partial refund reflecting work completed may be offered at our discretion.
• After report delivery: No refund is available once the report has been delivered, except where the report contains a material error attributable to our fault.

5. Nature of the Report — Important Limitations

Our reports are advisory only. Please read the following carefully:

• The report is based solely on information you provide in the intake form. We do not carry out a physical survey of your property.
• Retrofit cost estimates and savings projections are indicative only. Actual costs and savings will depend on contractor quotes, energy prices, occupancy patterns, and other factors outside our control.
• Grant eligibility assessments reflect the schemes active at the time of report preparation. Grant availability, criteria, and funding levels can change. Eligibility assessment by us does not guarantee you will receive any grant.
• The report does not constitute structural, electrical, or gas safety advice. All physical works must be carried out by suitably qualified and registered contractors.
• We are not financial advisers. Nothing in the report constitutes financial advice.
• EPC band estimates are indicative only. A formal EPC can only be issued by an accredited assessor following a physical inspection.

6. Your Responsibilities

• You must provide accurate and complete information in the intake form. Inaccurate information may result in an inaccurate report for which we cannot be held responsible.
• You are responsible for verifying all recommendations with qualified contractors before proceeding with any works.
• You are responsible for checking current grant eligibility directly with the relevant scheme administrator before making any financial commitments.

7. Intellectual Property

The Green Masterplan Report is prepared for your personal use only. You may share it with contractors, installers, or family members for the purpose of implementing the recommendations. You may not reproduce, resell, or publish the report (or any part of it) for commercial purposes without our written consent.

8. Liability

• Our liability to you is limited to the fee paid for the report (£299).
• We are not liable for any loss arising from decisions made on the basis of the report, including financial loss, costs of works, or unsuccessful grant applications.
• Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
• We hold professional indemnity insurance (active from May 2026) providing cover for claims arising from our advisory services.

10. Complaints

If you are unhappy with your report or our service, please contact us at khanjanifardshayan@gmail.com in the first instance. We aim to respond to all complaints within 5 working days and to resolve them fairly and promptly.

11. Governing Law

These Terms of Service are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
